Operations Plan

Launching (October 2026) 

The daycare will begin operations after licensing approval and final inspection, accepting a limited number of children for smooth adjustment. Parents will receive registration forms, policy handbooks, and orientation details. The Owner will oversee start-up activities, ensuring staff routines, communication, and safety procedures run effectively from day one. 

Hours of Operation: 
Monday – Friday, 7:00 AM – 6:00 PM; closed on weekends and statutory holidays. Programs include full-day childcare (ages 3–5) and after-school care (ages 6–12). 

Staffing Structure: 

  • Owner: Oversees operations, enrollment, finances, and compliance (Full-time) 
  • Early Childhood Educator: Leads activities, supervises children, ensures safety (Full-time) 
  • Childcare Assistant: Supports ECE with activities, meals, and records (Part-time)

Staff Qualification
Rainbow Haven employs qualified ECE staff (or those in training) who meet BC licensing standards. All staff hold First Aid/CPR certification, valid criminal record checks, and receive ongoing training in child safety, development, and inclusive care.

Enrolment Process
Parents complete an application form, followed by a brief interview and facility tour. Once a space is offered, required documents are submitted, fees are confirmed, and the child’s start date is scheduled.

Daily Routine 

7:00 – 8:30 AM: Arrival & Free Play: The Owner will be at the entrance to warmly welcome and receive the children (our little lambs). Children will engage in supervised free play activities to start their day calmly. 

8:30 – 9:00 AM: Breakfast / Morning Snack: The Child Care Assistant will serve breakfast and snacks, under the supervision of the Early Childhood Educator to ensure nutrition and hygiene standards are met. 

9:00 – 11:00 AM: Learning Activities: The ECE will lead structured learning sessions focused on early literacy, numeracy, and creativity, supported by the Child Care Assistant. 

11:00 – 12:00 PM: Outdoor Play: Children will engage in outdoor play, which may include walks in the neighborhood, activities in the yard, or visits to local parks and recreation areas (e.g., lakes or playgrounds) under close supervision. This will be carryout by Owner, Early Child Educator and Early Child Assistant 

12:00 – 1:00 PM: Lunch: The Child Care Assistant, supervised by the ECE, will serve lunch that the children brought from home, ensuring all children are properly attended to. 

1:00 – 3:00 PM: Nap / Quiet Time: Both staff will monitor the children as they rest or engage in quiet activities such as reading or drawing. 

3:00 – 3:30 PM: Afternoon Snack: The Child Care Assistant will distribute snacks and assist children as needed. 

3:30 – 5:30 PM: Creative Play / Homework Support: The ECE will facilitate creative and educational activities, including arts, crafts, and problem-solving games. After-school children will receive help with homework and quiet study time, supported by the Assistant. 

5:30 – 6:00 PM: Cleanup & Pick-Up: Staff will guide children in tidying up play areas and prepare for departure. The Owner/Manager will greet parents and ensure a smooth, safe pick-up process.  

Safety & Health: 
Daily health checks, sanitized toys and surfaces, emergency and evacuation plans, staff trained in first aid, and secure pick-up procedures. This will be done by the Early Child Assistant 

Record Keeping 

All records will be maintained accurately and securely to ensure compliance with BC licensing and auditing standards.

How it will be done: 

Attendance: Recorded daily at arrival and pick-up using a sign-in/out sheet, verified by staff. 

Meals: Logged by the Child Care Assistant to track food portions, allergies, and preferences. 

Health and Incidents: The ECE documents any illness, injury, or behavior concerns immediately in the incident log and notifies parents promptly. 

Financial Records: Managed by the Owner/Manager, including receipts, payroll, and invoices, stored securely for audits and reporting. 

Parent Communication 

Effective and consistent communication with parents will foster trust and transparency.

How it will be done: 

  • Daily Updates: The ECE and Assistant will provide brief reports (verbally or in writing) on each child’s meals, mood, and activities. 
  • Monthly Newsletters: Prepared by the Owner/Manager to share upcoming events, learning themes, and reminders. 
  • Quarterly Parent Meetings: Organized by the Owner/Manager to discuss child progress, gather feedback, and address concerns.
